What a good greeting does
A business voicemail greeting should confirm the caller reached the right company, say when you will call back and tell them what to leave. Keep it under 20 seconds.
Greeting examples you can use
- Standard: "You have reached Northwind Trading. We cannot take your call right now. Please leave your name, number and a short message, and we will call you back within one business day."
- Outside business hours: "Thanks for calling Northwind Trading. Our office is open Monday to Friday, 9 to 5 Eastern time. Leave a message and we will return your call the next business day."
- Remote team: "Hi, you have reached Northwind Trading. Our team works across time zones, so leave a message or text this number and we will reply as soon as we can."
- Support line: "You have reached Northwind support. For the fastest help, leave your order number and a callback number. We reply to every message within one business day."
Never miss a message
With the Voicemail add-on, missed calls go to a voicemail box and each message appears in your dashboard, where you can play or download it. We also email you, and with browser notifications on you are told the moment it arrives. Messages are kept for 30 days, so download anything you need to keep.
Do not collect sensitive data by voicemail
Never ask callers to leave card numbers, passwords or ID numbers in a voicemail. Ask them for a callback number instead and handle sensitive details on a secure channel.
